A German chemist accidentally produced polyethylene in 1898. It was not until more than 50 years later that this material could be produced in such large quantities that an entire industry was born out of it. Today’s Trassl Polymer Solutions GmbH also took advantage of this opportunity and has since made an international name for itself as a plastic packaging specialist with innovative solutions. With a document management system (DMS), the process quality should now be designed in an equally progressive and modern way so that the core business can be further expanded.

The company from Immenreuth in the Upper Palatinate with approx. 100 employees produces bottles, containers and canisters according to customer-specific requirements made of plastic in small and medium series. In addition, a number of upstream and downstream processes, such as design, screen printing or logistics, have to be interlinked. And this has to be done in such a way that transparency is created, which makes information accessible to every employee and thus enables flexible work organization. Because the quality of the products is the mirror image of the internal processes. In order to meet the increasing requirements and at the same time to become more attractive as a modern employer, Trassl Polymer Solutions GmbH has decided to introduce a DMS system.

Consulting and functions were essential

The race to select the future DMS system was clearly won by intex Informations-Systeme GmbH. A total of three systems were intensively put through their paces in a 4-month selection phase. In the end, the task was to find a holistic solution that combines several important aspects: usability, mobility, modular structure, process integration and connection to the ERP system and financial accounting. „In intex we have found a partner who understands our processes perfectly and also has many years of experience in technical implementation and, of course, powerful software,“ says Patrick Stumpf, Managing Director of Trassl Polymer Solutions GmbH, describing the decisive arguments for the selection.

Professional and reliable right from the start

intex Informations-Systeme GmbH attaches great importance to comprehensive consulting in all projects, because this is where the foundation for further cooperation and the goals set is laid. So the Middle Franconian software company started this project with an intensive workshop. Tobias Spahn, technical operations manager at Trassl Polymer Solutions GmbH, remembers: „This is how we found out what we really want and need ourselves. Our processes were precisely illuminated so that we were able to control a great deal in advance. This certainly saved us a lot of time and money“. And indeed: Thanks to this professional preparation, the new DMS system from intex was able to go live after just another four months. But before this could happen, special requirements still had to be implemented.

Overview at the touch of a button

Trassl Polymer Solutions GmbH currently maintains 30 machines for its special collections and individual packaging solutions. For the production even the tools are made in-house. Thus, an up-to-date overview of the machines‘ condition is always required in order to plan maintenance work in advance and to ensure fast production for the customer. Up to now, paper lists were printed out laboriously, filled out manually and stored in physical folders. The new feature „digital machine maintenance and repair plans“, which was completely redeveloped by intex and integrated into the DMS system, now provides a remedy. This means that machine running times are now also transferred daily from the ERP system. At the touch of a button, a dashboard clearly displays the status of the machines by means of diagrams.

Patrick Stumpf expects annual savings on machine repairs in the 5-digit range.

More time for the essence of things

But also in administration and other departments the advantages of the introduction of the intex document management system are obvious. The search for invoices or personnel documents, for example, and thus the time required to obtain information has been reduced to a minimum. In order to enable the employees to work with the new software alone and without restrictions, they were trained and familiarized with the system within two days. Questions are answered quickly by the intex support team and upcoming issues are clarified
